Welcome to theAIReply, operated by Capslock. This page explains how you can request deletion of your personal data from theAIReply (“we”, “us”, “our”).

This theAIReply data deletion guide applies to users of our website theaireply.com and our web application app.theaireply.com (together, the “Service”).

If you connected your account using Facebook or WhatsApp (Meta), this page explains how to request deletion of data stored by Capslock in theAIReply.

1. Who can request data deletion

You may request deletion if:

  • You are the account holder of a theAIReply account
  • You are an authorized representative of a business that uses theAIReply
  • You are requesting deletion of your own personal data associated with the Service

We may ask you to verify your identity before processing a request.

2. How to request deletion

2.1 By email (recommended)

Send an email to: support@theaireply.com

Subject line: Data Deletion Request — theAIReply

Include in your email:

  • Your full name
  • The email address used to register your theAIReply account
  • Your business name (if applicable)
  • A clear statement that you want your account and personal data deleted
  • Optional: your WhatsApp Business phone number connected to theAIReply

We will confirm receipt and respond within a reasonable time.

2.2 Through your account (if available)

If your theAIReply account includes an account deletion option:

  1. Log in at https://app.theaireply.com
  2. Go to Settings or Account
  3. Select Delete Account (if available)
  4. Follow the on-screen steps

If you cannot find this option, use the email method above.

3. What data will be deleted

When we process a valid deletion request, we will delete or anonymize personal data associated with your account, which may include:

  • Account information (name, email, business details)
  • Profile and settings data
  • Contacts stored in theAIReply
  • Message history stored in theAIReply
  • Campaign, template, and automation data linked to your account
  • WhatsApp connection tokens and related integration data stored by us
  • Billing and subscription records, except where we must retain them for legal or accounting purposes

4. What may be retained

We may retain certain information where required by law or for legitimate business purposes, such as:

  • Records needed for tax, accounting, or legal compliance
  • Information needed to resolve disputes or enforce our Terms of Service
  • Security logs retained for a limited period
  • Data that has already been anonymized and can no longer identify you

If retention is required, we will limit the data to what is necessary and keep it only for as long as required.

5. WhatsApp and Meta data

If you connected WhatsApp through theAIReply:

  • We will delete WhatsApp-related tokens and data stored on our systems
  • Data held directly by Meta or WhatsApp (outside theAIReply) is governed by Meta’s policies
  • You may also need to manage or disconnect your WhatsApp Business account in Meta Business Manager or WhatsApp Manager

Disconnecting from Meta does not automatically delete all data already stored in theAIReply. Please submit a deletion request to us if you want your theAIReply data removed.

6. Processing time

We aim to process verified deletion requests within 30 days.

In some cases, complete deletion may take longer if:

  • Backups need to expire on a scheduled cycle
  • Legal retention requirements apply
  • Additional verification is required

We will notify you by email when your request has been completed or if we need more information.

7. Data deletion for Facebook / Meta app users

If you signed up or connected services through Meta (Facebook / WhatsApp):

  1. Submit a deletion request to support@theaireply.com using the steps in Section 2
  2. We will delete data associated with your theAIReply account from our systems
  3. For data held by Meta, visit Meta’s account settings or contact Meta directly according to their policies

8. Cancelling a deletion request

If you change your mind before deletion is completed, contact us immediately at support@theaireply.com.

Once deletion is finalized, your account and associated data cannot be recovered.
